TITLE: EVENT and MARKETING COORDINATOR- part-time
REPORTS TO: Executive Director and coordinates with the Development Director
Ability to recognize, accept and follow the mission of Malachi House
2-4 years of experience in event planning (non-profit preferable), donor database and mobile billing proficiency
Experience with social media tools and techniques
Good Communication skills
Knowledge of Microsoft Word, Microsoft Excel, Microsoft Publisher, Microsoft PowerPoint, Donor Perfect , Greater Giving and Mobile Bidding Databases.
Ability to manage events: coordinate with graphic artist to design all invitations, solicitation documents and marketing materials. Additionally: coordinate venue, liquor permits, sponsorships, ads, tickets, auction and program
Manage budget for events and the P/E reports following events in coordination with the main office
Work with the graphic artist and printer in designing printed media, all marketing materials, print and online collateral
Ability to interact appropriately with diverse groups of people and volunteers
Willingness to work flexible hours, according to the needs of residents and events at Malachi House
Ability to consistently manage the Malachi House brand
RESPONSIBILITIES Include but not limited to
Assist in development projects as delegated by the ED
Administrative support of the ED
Assist in marketing and event projects as delegated by the ED
Interface with Board, Associate Board, and special committees as delegated by ED
Social Media and Website
Implementation and management of social media programs/platforms
Promote engagement of followers on social media with the approval of the ED
Posting to Facebook daily or as necessary and YouTube when content available with the approval of the ED before posting.
Request and file all media release forms from the clinical staff determining who does/does not give approval for residents.
Create and manage online events with third party ticket sale websites. (Eventbrite)
Manage the Malachi House Brand effectively and ensure that its identity is consistently represented.
Work with the Graphic Artist and ED on print and online collateral, business cards, letterhead, and promotional materials.
Manage the input of data in Donor Perfect and Greater Giving for all events on a daily basis and/or as needed.
Coordinate venue, sponsorships, ads, auction items, guests, tables and name tags in cooperation with the ED.
During an event, prepare all materials and follow the schedule prepared by the ED in a timely manner for transport if necessary.
Receive approval for participation in any outside events not directly related to Malachi House
Execute volunteer matrix per event in coordination with Volunteer Coordinator
Maintain overall management on day of event: setup, check-in/check-out (testing, prep, payment system and equipment must be taken care of before event day), audio-visual, tables, agenda, print collateral, valet, catering and auction items and tables, clean up etc.
Manage the auction for events with follow-up as needed.
Manage information for auction chair and organize all materials and location for preparation of baskets/items and input in program.
Prepare bid-sheets if applicable or manage mobile bidding.
All donations (cash, checks, auction and or/raffle items) will be processed through the main administrative offices. Copies of the information will be given to the development team. Any and all donations should be given directly to the main office for processing.
