Development & Special Event Coordinator

Summary:   The Development and Event Coordinator manages Agency events and provides administrative support to the Fund Development department and Culture of Philanthropy related activities.


Essential Functions:

Indoor Triathlon, Biathlon and Kids Tri

·         Coordinate and manage annual Triathlon event including: Serves as lead coordinator of the event and works closely with planning committee; maintain event website; manage all communication with athletes about event specifics and fundraising responsibilities; securing sponsorships as well as scheduling event volunteers; coordinating all day-of and post-event duties.

Annual Mandel JCC event

·         Lead Coordinator of the Mandel JCC’s annual fundraiser. Responsibilities include securing corporate sponsorship and scheduling event volunteers; working closely with planning committee; coordinating design, printing and mailing of associated materials with marketing department; managing ticket and tribute ad sales; organizing silent auction, and all day-of and post-event duties.

Sing Into Spring

·         Serves as Fund Development support staff for the Early Childhood department’s annual fundraising event.

Annual Fund Campaign

·         Support Development Director with Annual Fund Campaign by creating mailing list utilizing NPSP, assigning solicitors and maintaining accurate reports related to annual campaign.

·         Process weekly pledge status reports for Board members.

Donor Relations

·         Coordinate donor recognition event by developing invitation lists; assisting with preparation of invitations with marketing department; working with vendors; event set-up and clean-up; and event follow-up.

·          Respond to donor inquiries, concerns, and requests for information via phone, email, and mail.


·         Works closely with the Chief Development Officer to provide weekly status reports through NPSP.

·         Responsible for all data management of philanthropic activity including:  data entry and producing acknowledgment letters and processing of cash, checks, credit cards, and stock gifts.

·         Manage physical and electronic files for grants and donors ensuring that support documents are easily accessible, up to date, and secure. Updates donor records daily.

·         Produce accurate and meaningful reports to stakeholders regarding the historical success of campaigns, funds, and appeals.

·         Attends all Culture of Philanthropy meetings and take notes for all events.

·         Maintains confidentiality of all donor records and donor activity.

·         Completes other duties as assigned.


·         Bachelor’s Degree.

·         Three years of fund development and special event experience.

·         Knowledge of fundraising software.

·         Proficiency in Microsoft Office Suite.

·         Experience with Salesforce/NPSP a plus.

·         Strong verbal and written communication, decision making, and problem solving skills.

·         Ability to work well under pressure to manage multiple concurrent tasks, re-prioritize work, and be flexible while meeting tight deadlines.

·         Occasional weekend and evening work.

·         Must be able to lift and/or move up to 25 lbs.
