Annual Fund Manager

The Cleveland Orchestra

The Cleveland Orchestra is looking for an Annual Fund Manager to manage the Orchestra’s broadbase giving program, focusing on the solicitation and stewardship of donors who give below $2,500. The Annual Fund Manager is responsible for the strategy and implementation of direct mail, print, telefunding, and digital fundraising campaigns to meet annual revenue goals and grow the Orchestra’s donor family. The community of broadbase donors currently includes more than 7,000 donor households locally and nationally, who give $1.6M+ annually.

Position responsibilities include the following:

Program Management
Responsible for the development and implementation of The Cleveland Orchestra’s broadbase giving programs that identify, qualify, solicit and steward more than 7,000 donors annually

  • Annual campaigns include broadbase support from the community for the Annual Fund, Blossom, and Miami support
  • The Annual Fund includes campaigns during fall, calendar year end, subscription renewal, spring, staff and orchestra, and fiscal year end
  • Grow our recently launched monthly giving program, Stand Partners

Develops strategies and timelines for multi-channel campaigns utilizing direct mail, print, email, social media, and telefunding

Work closely with colleagues in Marketing and Communications to coordinate cross-department communication timelines, and to ensure that Annual Fund messaging is integrated into organization-wide communications

The Annual Fund Manager pulls and processes all solicitation lists for broadbase fundraising, develops analysis for the program, and project manages and supports content creation for the program

  • Work closely with the Philanthropy & Advancement (P&A) Communications Managers to ensure all written and designed communications are produced to meet campaign deadlines

Plan and implement donor benefits, servicing donors at Severance and Blossom Music Centers, as well as remotely

Plan and implement robust direct mail campaigns, including regular renewal and acquisition appeals; utilizing careful segmentation, communications should be tailored and relevant to each audience

  • Analyze campaign progress on a regular basis and adjust the campaign strategy to ensure that revenue goals are met
  • Work with our printing vendors to see mailings to completion

Work closely with our third-party telefunding provider, to implement Cleveland and Miami tele-fundraising each year

  • Provide regular updates and open communication with the telefunding provider to ensure that callers can successfully represent The Cleveland Orchestra during conversations with patrons
  • Analyze campaign progress on a regular basis and adjust the campaign strategy to ensure that revenue and  ROI meet the Orchestra’s needs
  • Create calling leads for telefundraising campaigns
  • Work with the P&A Operations Associate to ensure that gifts are received, and patron accounts updated in a timely manner
  • Ensure data integrity and processes are created and maintained for patron data provided to the telefunding provider and information received back to the Orchestra

Work closely with the P&A Events team to implement donor benefit events, and the P&A Communications team to ensure that stewardship communications are coordinated with the broadbase appeals

  • The Annual Fund Manager attends broadbase events to meet and steward supporters

Work with development data, communications and events teams to initiate strategies and tactics to bring in new donors and increase the giving of current donors through best practices of patron development

Project manages and supports video creation that supports the Annual Fund

Work closely with the Discovery and Engagement Gift Officers to ensure that the broadbase program creates opportunity for the midlevel and Leadership programs to grow

Create and track the expense budget for broadbase solicitations, including mail, digital and telefunding expenses

Donor Services
Respond to phone calls and emails from patrons as part of the Donor Services team

Work concert performances to greet donors and ensure a positive donor experience


The successful candidate will meet the following qualifications:

  • Bachelor’s Degree required with four+ years previous similar work experience
  • Supervisory ability to provide leadership and direction to third party contracted services
  • Strong project management skills, able to successfully prioritize to manage multiple projects and deadlines
  • Proficient computer skills in the Microsoft Office Suite
  • Experience using Tessitura or another donor records database is required
  • Background or knowledge in analytics and forecasting. Must be comfortable using data to drive decisions
  • Strong interpersonal and communication skills, both verbal and written
  • Excellent organizational skills with a high attention to detail and exceptional accuracy
  • Demonstrated independent, mature judgment
  • Ability to consistently maintain a professional image and demeanor
  • Strong problem-solving skills combined with a collaborative approach
  • Ability to work independently and as a collaborative team member
  • Self-Starter
  • Must be able to travel locally between meetings, job sites and events
  • Must be able to work evening and weekend hours, and occasionally holidays
